FancyFree makes creating and receiving purchase orders quick and painless. With its simple and intuitive interface, as well as its full integration with your PayGo POS software, you’ll have your inventory ordered, received and on the sales floor in just a few clicks.
Building a Purchase Order with FancyFree
To build a new purchase order, click the PO Builder button on your Menu Screen. This will take you to a screen where you can enter inventory items.
To add previously-ordered items to a purchase order, you can click the Scan button, which will take you to your device’s camera setting so you can scan an item barcode. You can also search for an item with the Search bar. When the item has been either searched or scanned, you are taken to an Item List screen where you can choose which item to reorder. Click on the item you want to reorder, and a screen will prompt you to enter the amount of the item you’d like to order. Since the item has been ordered through your company in the past, all information for the item and vendor has been saved in your PayGo software and you will not have to re-enter it. A new purchase order is automatically generated when you are done entering all information, and any more items to order from this vendor will automatically be added to the open purchase order when scanned or searched through the PO Builder screen.
If you are creating a purchase order for an item you have never ordered before, click the Plus Sign above the Scan button. This will take you to a New Inventory screen, where you can add all pertinent information about the new inventory item you will be ordering on this purchase order. There are input fields for the Item Name, Department, UPC (when this field is clicked, it will bring you to the camera setting so you can add the UPC by scanning the barcode), Vendor, Vendor SKU (which can be scanned in by clicking the Barcode icon next to this field), Style, Size, Color, Cost, Price, Description, and Picture.
When all values are entered, click the Add It button at the bottom of the screen. This will take you to the next screen, where you can enter the quantity of the item to be ordered. When that value has been added, you will see a pop-up box that tells you the item has been added to the purchase order.
To post a purchase order, click the Find Purchase Order button on your PayGo Menu Screen. Search for the order; it will be classified as still being in the Order Creation stage. This will take you to the Order Creation screen, where you will add all missing information for the purchase order, such as shipping and handling totals. When you are done, click the Commit PO button at the top right corner of the screen. This will post the purchase order as Waiting to Receive.
Receiving a Purchase Order with FancyFree
To receive a purchase order, click the Receive w/Scanner button on the Menu Screen. This will take you to a screen where you can Scan an item to open the purchase order it’s on, Search for an open purchase order, or select a purchase order from a list. This will take you to a screen where you can see all individual items ordered on the purchase order.
If all of a certain item ordered has been received, click the Arrow button at the end of each item line on the list. If an item has not been fully received or has been back ordered, fill in the Recvd and BO fields for each item, and then click the Arrow button for the item. The items will be marked as received.
To close out a purchase order, click either the Find Purchase Order button or the Open Purchase Orders button on your PayGo Menu Screen. Select the order you have just checked in, and click the Post PO button at the top right corner or the screen. This will post the purchase order as Closed, and all of the inventory received will be entered into your PayGo software.
